Facilities Executive


France / Experienced / Salary Package as per experience /Permanent / Urgent / Job Ref: 811-IT001

Responsibilities:

Despatch & work location services: Supervise and manage activities at the mail room; supervise functioning of admin assistants at work locations, anchor the despatch, receipt and segregation of couriers on a daily basis ; co-ordination & negotiations with vendors and processing of vendor bills IN ORDER TO ensure proper functioning of the despatch centre

Transport: Monitor operations of transport desk; Review rostering and suggest changes; Review available vehicles and make alternate arrangements & plan for adhoc requirements if any; Provide details for debiting costs to projects IN ORDER TO provide dependable and cost effective transportation for employees

Training / Competency Building : Co-ordinate / Attend / provide training to Associate Facilities and contractual staff in areas such as technical and customer service related activities; Deploy contractual personnel and regularly monitor services provided IN ORDER TO improve competencies

HSE : Collation and analysis of HSE / GRI data; Ensure timely submission / updation of EIA / PCB documents to concerned authorities; Co-ordinate with consultants and other stake holders for collation of project related data; Follow up with concerned Regulatory authorities for necessary approvals; Track legal compliance for all DCs; Adopt and implement environment friendly practices; Ensure testing and monitoring of all HSE parameters as per defined frequency; Assist during audits and follow-up for closure of action items; Issue work permits IN ORDER TO continually improve the HSE Management system

Engineering Services : Carry out preventive or breakdown maintenance; Operate and maintain plant and machinery; Fresh and Waste Water Management; Carry out civil maintenance; Monitor voice communication and audio conferencing systems and services; Handle minor civil / electrical modifications; Adhere to electrical safety guidelines; Handle project specific and infrastructure related up-gradation activities; Co-ordinate with service providers during disruption of services;
Prepare and ensure closure of snag list before takeover of new infrastructure; Maintain substations (HT cable distribution) IN ORDER TO provide engineering services with minimum downtime for effective functioning of the DC Administration and Logistics Services : Perform functions of Facilities helpdesk; Processing of bills and timely payment to vendors ; Follow-up with vendor for timely delivery of supplies and services; Track and maintain inventory of assets; Update department documents; Monitor operations of Facilities Store; Raise Purchase Requisitions; Co-ordinate with Purchase / Accounts and Personnel departments; Collation and analysis of cost related data; Provide inputs on provisions to
Finance on a monthly basis; Co-ordinate with vendors on reconciliation of accounts; Prepare reports of expenses for review; Co-ordinate, verify and approve employee / customer settlement and reimbursements; IN ORDER TO execute back office operations

Travel Services : Provide services to customers as per Service Level Agreements (SLA); Monitor travel agent services for compliance with ticketing as per corporate agreements; Implement cost control measures; Provide clarifications to vendors and internal customers on queries related to air and surface travel; Evaluate and approve travel settlements; Handle escalations related to travel IN ORDER to provide travel services in adherence to SLA`s

Facilities Services: Participate in DRBC process including emergency services and perform role of DRR admins; Provide support for internal meetings / conferences; Oversee landscaping activities; Provide logistics assistance for company / project events; Handle voice communication operations; Interact with vendors / employees with regard to despatch /delay / damage/ misplacement of couriers IN ORDER TO provide facilities services as per defined policy
Hospitality Services: Review food court operations and co-ordinate with Catering & Banquets team for internal catering ;
Review housekeeping and pest control in respective areas; Provide logistics assistance for visits; Set up new infrastructure; guide the internal team on the upkeep and maintenance of ECC /guest house and dorms; Set up and operationalise health club IN ORDER TO ensure hospitality services to all customers Review food court operations and co-ordinate with Catering & Banquets team for internal catering ; Review housekeeping and pest control in respective areas; Provide logistics assistance for visits; Set up new infrastructure; guide the internal team on the upkeep and maintenance of ECC /guest house and dorms; Set up and perationalise health club IN ORDER TO ensure hospitality services to all customers.
